W-2 forms available electronically

Rice faculty, staff and students have the option of receiving their 2009 W-2 form electronically.

The electronic option saves Rice money on envelopes and postage and eliminates the possibility of confidential information being delivered to the wrong address or stolen in the mail.

To request that their W-2 be sent electronically, employees must either register online through their ESTHER account or sign an original memo and send it to the Payroll Office at MS 71. The deadline is Jan. 8, 2010. Employees who previously enrolled in the electronic option do not need to take any action.

To register online, log in to your ESTHER account at esther.rice.edu. On the main menu, select “employee.” On the employee menu, select “tax forms.” On the tax forms menu, select “electronic W-2 consent” and then click on the box labeled “my choice” to indicate that you consent to receive the W-2 electronically. Click on the “submit” button at the bottom to complete the process, which will generate an e-mail confirmation the next business day.

Employees who choose the electronic option will receive an e-mail when their W-2 form is available in their ESTHER account. The e-mail will include instructions for how to access the form and print it at home so it can be submitted with the 2009 income tax form.
